Office Tracker Success Story
Grgich Hills Expands Wine Tours and Events
with Office Tracker Scheduling


Founded in 1977, Grgich Hills is an organic and Biodynamic certified winery in the Napa Valley region of California.  Grgich wines uses only grapes that have been farmed Biodynamically an agricultural philosophy that treats the Earth as a living being and utilizes natures basic life forces, natural compost and nutrient preparations, and cosmic cycles to bring about balance between the grapevines and the Earth. Completely estate grown, Grgich Hills controls every step of the winemaking process, from vineyards to the finished bottle of wine.

Recently, Grgich Hills decided to seek a new scheduling system. We are very happy they chose Office Tracker and love the fact that their wines are organically and biodynamically produced. In addition we learned they are using solar power to produce 100% of their energy needs. We were so impressed, we wanted to learn more about them.  We asked them to share their experience with Office Tracker so far.

We contacted Bob During, Wine Club Coordinator who gave us some background: "Prior to Office Tracker we were doing all of our Tasting Room tour and event scheduling by hand in a yearly calendar. Because we are always trying to improve on what we do and to offer more to our customers we felt we needed a better scheduling system."

Violet Grgich, Vice President of Operations for the winery, says, "We "test drove" about five different systems before we decided that Office Tracker met our current and future needs".

Bob continued, "Although the time it took using the previous method to enter the original tour, tasting or event was not significantly slower, making changes was not as efficient as we wanted. The place where we see the biggest difference is that we can now schedule multiple events in different locations, at the same time and the ease with which we can move a scheduled booking from one date and time to a different date. No more erasing and re-writing, forgetting credit card or re-entering phone numbers. All the detailed information for each visitor transfers with ease. In addition, many people have access to the schedule from different locations, which makes our response time to our customers faster and more accurate."

There are three people who use Office Tracker on a daily basis and two who use it on occasion. They use Office Tracker to schedule tastings, tours, or special events at the winery. Office Tracker allows them to quickly see when time would be available for a tour, tasting or special event. They print the schedule out each morning to assign a staff member to each group of visitors.

"Office Tracker filled our present need by giving us the flexibility to expand our current offerings while at the same time providing us with the ability to increase the number of events we can offer as we continue to enhance the winery experience at Grgich Hills. We are very happy with Office Tracker and how it's working for us!" said Bob.

Note: We are happy too, and hope to visit Grgich Hills in the near future to get a tour ourselves.
